When a CEO is asked about implementing
video conferencing into their business, they often reply by stating that they
wouldn’t know where to start, and that s perfectly understandable. Technology
is intimidating, to say the least, and whenever one tries to deviate from the
tried and true methods, things tend to go downhill. Fortunately, it doesn’t
always have to be that way. Actually, since technology companies have had
twenty years or more to work on the problem, things have not only changed
significantly, they have gotten much easier.
There was a time when connecting
to a video conference meant waiting for the planets and starts to align
properly, and let’s face it, the connection never worked right the first time.
This made video communication a little off putting to most CEO’s and workers,
but what if we told you that the kinks have been worked out to an extent that
making a video call is much easier than actually making a phone call. It might
be hard to believe, if you’re looking for this kind of quality from a conference call, BlueJeans has just what the IT guy ordered. CityU has discussed at length how easy videoconferencing has become, and
you can get all the details right here.
Scheduling a Conference Call
When you are getting set up you probably
have a number of questions, namely how it is supposed to work. Don’t worry,
it’s not nearly as hard as you think. First of all, most of these applications
are cloud based, meaning they are going to respond quickly, or at least as fast
as your connection will allow. In addition to that you will have the option to
create a conference in advance, giving everyone a heads up and the ability to
chime in when the time comes. The best part about this is that you can schedule
conferences in advance, meaning you won’t have to spend your time figuring out
when and when not to make the appropriate calls. In other words, you don’t have
to remember any of it at all, once you schedule it, it just happens. Now that’s
progress.
Joining a Conference Call
Getting into the conference call is even
easier than actually starting it, if you can believe that. Once the call is
sent out, you don’t even need to pick it up immediately. Unlike a phone call,
you do not necessarily have to be present in order to pick up. The notification
is sent out via email and you will be able to click on the link, entering the
conference at your own whim.
When you do answer the call you will be
given the opportunity to choose how you
want to answer it. Most programs let you choose whether to answer the call with
or without voice, which can save on bandwidth, but also gives you the
opportunity to save face if you are less than presentable.
There are many other options you can
choose such as your level of brightness, contrast, other camera options, etc.
The choices are nearly unlimited, but as always, you can just press the
‘answer’ button and jump right into the call.
These calls are available across the board
and through all of the different devices on the market. It could be a computer,
a laptop, or one of the many mobile devices available today. It doesn’t matter,
all of them are capable of participating in the conference as you will quickly
find. The best part about this is that most mobile phones today have
front-facing cameras, meaning you can participate in the call without worrying
about whether or not you are visible. Inc.com recently discussed how easy it is for videoconferencing to save you
money and this is just another example. As you can see, things have progressed
quite a bit, and now, everyone can be connected, no matter where they are.
Any Way You Want It
Getting set up has never been easier. One
of the greatest things about videoconferencing today is that it can actually be
used on a whim, and you no longer have to worry about supplying employees with
the devices they need to connect. There is a high probability that your
employees already have the necessary devices and will be able to sue them for
video conferencing. That being said, half of your work is already done! All you
need to do is find the right conferencing provider and get underway – not
exactly a tall order.
Now would be a great time to start getting
involved in the different conferencing software options and see which one will
work best for you as well as your company. The learning curve these days is now
pretty minimal, meaning that jumping in won’t be as much of a problem now as it
would have been in the past. Don’t worry, once you learn to use video
conferencing tools your company will not only be better off, it will thrive!
By the way, let's try to have some fun with some real examples most of us might have face in our daily basis. Enjoy the video
